The Traffic and Production Coordinator manages the department flow of project requests from intake to completion through the use of appropriate tools, resources, and processes, as well as ensuring timely and cost-effective production of materials while ensuring the highest standards of quality control. The Traffic and Production Coordinator maintains all administrative functions for vendor relationships.


Essential Functions/Responsibilities:

  • Develops project timelines and assigns available resources efficiently to ensure optimized workloads
  • Consults team members regarding time estimates and revises preliminary schedules as necessary
  • Flags schedule conflicts and negotiates timelines with stakeholders
  • Effectively collaborates with stakeholders and project managers from other departments to ensure creative project timelines align with larger project milestones
  • Holds regular traffic meetings with creative team members and distributes an ongoing status report of all active jobs in the creative team to all stakeholders
  • Schedules project planning, kickoff, and review meetings
  • Proactively gathers information and specifications required to complete projects when needed
  • Attends meetings and takes notes that are emailed to stakeholders afterwards for confirmation
  • Maintains an ongoing report of resource capacity and assists creative function managers and director in forecasting future resource needs in a timely manner
  • Tracks and records department invoices and annual budget spending and sends out regular spending reports to managers and director
  • Maintains an organized and complete digital record of creative operations documents
  • Works with printers and other vendors to get quotes and print schedules, and to coordinate shipping and delivery to final location

Qualifications/Skills Required:

  • Minimum 3+ years’ experience related to project management and resource scheduling
  • Thorough understanding of design and production workflows for both print and digital projects, trafficking/project management, print methods, and current web/digital capabilities
  • Solid understanding of project management principles and methodologies
  • Remarkable client service and communication skills
  • Advanced Microsoft Excel skills, including experience with pivot tables
